We just show up, throw on a fake smile, and hope the meeting actually ends on time this time.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If that\u2019s the case, I invite you to look at this topic with new eyes: If you spend hours of your week taking calls as you work from home, shouldn\u2019t you be doing it right?<\/span><\/p>\n<p><span style=\"font-weight: 400;\">So before you hop on your next call, be sure to read about these game-changing remote meetings tips.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">1. Sometimes, an agenda isn\u2019t enough.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Yes, you should always have a meeting agenda. But beyond that, it\u2019s helpful to provide context around <\/span><i><span style=\"font-weight: 400;\">who<\/span><\/i><span style=\"font-weight: 400;\"> is attending and what their role is in the scope of the meeting and its topic. This is particularly true for cross-functional collaborations, where people from different teams or organizations who have not met before are coming together to solve a problem or work on a project. You can save time on introductions if you do this and ensure everyone is in the loop.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">2. There <\/span><i><span style=\"font-weight: 400;\">is<\/span><\/i><span style=\"font-weight: 400;\"> an ideal meeting attendee number: fewer than 10 people<\/span><\/h2>\n<ol>\n<li><span style=\"font-weight: 400;\"> Richard Hackman<\/span><span style=\"font-weight: 400;\">, who was a professor of organizational psychology at Harvard, spent years studying effective teams and concluded: \u201cMy rule of thumb is that no work team should have membership in the double digits (and my preferred size is six), since our research has shown that the number of performance problems a team encounters increases exponentially as team size increases.\u201d<\/span><\/li>\n<\/ol>\n<p><span style=\"font-weight: 400;\">Now, this will depend on the type of meeting. If you\u2019re hosting an all-hands, and your organization has 200 people, you\u2019ll have to break this rule. But it\u2019s just a general guideline: try to keep your meeting attendees to fewer than 10. Any more than that, and it\u2019s diminishing returns.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">3. Draft a remote meetings policy for your workplace.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Your remote meeting policy should address questions like:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">When is a remote meeting appropriate?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Does our office default to video on or off?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Are virtual backgrounds acceptable?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Do we use chat during video meetings? If so, in what way?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Will our video meetings be recorded?<\/span><\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">4. New attendees need to know the policy before the call.\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">This should be documented in the office meeting policy we talked about earlier, but if the attendees are from outside of your organization, they obviously won\u2019t know about this, so give them a heads up about these four items:<\/span><\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Who will be <\/span><a href=\"https:\/\/krisp.ai\/blog\/how-to-lead-a-conference-call\/\"><span style=\"font-weight: 400;\">leading the meeting<\/span><\/a><span style=\"font-weight: 400;\">?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Should they arrive at the meeting with their cameras on or off?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Should they keep their cameras on throughout the meeting?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Is it okay to use a virtual background?<\/span><\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">5. Lighting matters.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Don\u2019t stress out too much about this; just make sure your face is well-lit enough that people can see your face. Meeting virtually already means we lose some key pieces of communication (body language, for example), so make it easier on your teammates by allowing them to read your facial expressions in good lighting.\u00a0<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">Avoid having light directly behind you, such as a sun-filled window, which can create a silhouette effect that obscures your face. Try to place a light source, such as a desk lamp, behind your laptop so the light falls on you.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">6. Avoid a busy background.\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Busy backgrounds are visually distracting, and depending on what\u2019s back there, might not be appropriate for a work call. The safest bet is a bare wall behind you or, if in line with your workplace\u2019s culture, a nice virtual background.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">7. Your laptop microphone or headset microphone picks up annoying <\/span><a href=\"https:\/\/krisp.ai\/blog\/conference-call-background-noise\/\"><span style=\"font-weight: 400;\">background noise<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">To remedy this, you\u2019ll need to manually eliminate as many noise-making items in your vicinity before the call. If you\u2019re calling in from home, prep your workspace beforehand. Turn off any distracting noises, such as fans that blow directly on your microphone or a TV you left on in the living room.<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">Of course, home life isn\u2019t always so easy to control. If you\u2019ve got roommates, family, kids, or pets, your best bet is to install a noise-cancelling app like <a href=\"https:\/\/krisp.ai\/\">Krisp<\/a> to automatically eliminate any distracting sounds at the click of a button. Let them know if:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">You\u2019ll be in the middle of your commute on the subway, so your camera will be off.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">You\u2019re dogsitting for a friend today, so there might be barking in the background.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">You\u2019ve been having internet connectivity problems, so your video might freeze up, and in that case, you\u2019ll turn the camera off.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">That way, if the issue does come up during the meeting, you don\u2019t waste time explaining what\u2019s happening or come across as rude.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">9. Use icebreakers sparingly.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Icebreakers exist on a spectrum, from the downright cringey to the heartwarming. Choose a <\/span><a href=\"https:\/\/krisp.ai\/blog\/virtual-icebreakers\/\"><span style=\"font-weight: 400;\">virtual icebreaker<\/span><\/a><span style=\"font-weight: 400;\"> that takes into account how close the team is and how much time you have in the meeting.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">10. You can certainly use this method for <\/span><i><span style=\"font-weight: 400;\">some<\/span><\/i><span style=\"font-weight: 400;\"> of the questions, but if you find that certain people are dominating the conversation while others are staying silent, it\u2019s time to switch it up. <\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">If you are the meeting host, call on people who haven\u2019t spoken and say, \u201cI\u2019d like to hear from you. Do you have anything to add?\u201d Similarly, you can ask each person that you call on to \u201cpass the mic\u201d to someone else when they\u2019re done speaking. That way, you\u2019re not always the one calling on someone to speak.<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">If you are not the host but an attendee who tends to be the first to speak, next time, take a step back and say, \u201cI\u2019d be happy to go first on this one, but I wanted to give ____ an opportunity to speak because they\u2019ve been instrumental in this project and have a lot they could share. _____, would you like to add something?\u201d<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">11. Pretend the meeting starts 5 minutes before it actually does.\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">If a meeting starts at 10 a.m., put 9:55 a.m. in your calendar. This will help you mentally prepare to arrive early, and it provides a buffer in case a meeting beforehand runs over.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">12. Learn basic troubleshooting<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">You don\u2019t need to be an IT whiz. Just some basic troubleshooting can go a long way in having effective remote meetings.<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Video freezing and audio skipping?<\/b><span style=\"font-weight: 400;\"> Turn off your camera, switch to a faster internet connection, and make sure someone in your household isn\u2019t streaming videos or doing something else that takes up a lot of bandwidth.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Running a VPN? <\/b><span style=\"font-weight: 400;\">Realize it\u2019ll slow down your connection. Consider disconnecting.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>People can\u2019t hear you?<\/b><span style=\"font-weight: 400;\"> If you\u2019ve got headphones in, take them out. Or, check your audio input under settings to ensure the meeting app knows to pull audio from your headset, not your computer\u2019s internal mic.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Being Zoombombed? <\/b><span style=\"font-weight: 400;\">Always protect each meeting with a unique password shared only among designated attendees so outsiders can\u2019t join. This is an important part of <\/span><a href=\"https:\/\/krisp.ai\/blog\/online-meeting-privacy\/\"><span style=\"font-weight: 400;\">online meeting security<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">13. Don\u2019t be afraid to reschedule when things go wrong<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">If technical issues persist despite troubleshooting, don\u2019t be shy: Suggest rescheduling the meeting for another time or excuse yourself while the others carry on with the meeting. This shows you respect others\u2019 time and don\u2019t want to keep troubleshooting during valuable meeting time.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">14. Give time warnings.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">This is really the meeting leader\u2019s responsibility: To make sure you end on time and wrap up smoothly, give a 10- and 5-minute warning.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">15. End the meeting on time.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Whatever you do, don\u2019t go over. At the stated meeting\u2019s end time, on the dot, announce that you\u2019ve run out of time and that people are free to leave. If you have more items to discuss, ask anyone who has the time to stay on longer, but don\u2019t hold back those who have other commitments.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If a meeting is going over, and you don\u2019t want to interrupt, feel free to just leave. Ideally, you\u2019ll want to send a text message to the chat. Interrupting to say \u201cI\u2019ve got to go\u201d creates a longer delay for everyone else because now they\u2019ve all got to say bye to you.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">16. If you\u2019re the meeting leader, pretend you\u2019re narrating a film.\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">When we\u2019re in <\/span><a href=\"https:\/\/krisp.ai\/blog\/productive-remote-meeting\/\"><span style=\"font-weight: 400;\">remote meetings<\/span><\/a><span style=\"font-weight: 400;\">, it\u2019s so easy to forget that other people <\/span><i><span style=\"font-weight: 400;\">cannot see what you are doing<\/span><\/i><span style=\"font-weight: 400;\">. So, if you\u2019re the meeting leader, pretend you\u2019re the narrator in the film. Announce everything that you are doing. Overcommunicate. This prevents people from feeling awkward, getting confused, or thinking they\u2019ve lost you.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Here are examples of how this might play out:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">There\u2019s that awkward silence at the start of the meeting while you\u2019re waiting for everyone to join. Say, \u201cSo I\u2019m just checking my email here to see who responded yes to this invite. We\u2019ll wait a few more minutes because it looks like Lucy and Joe are supposed to join.\u201d\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">You ask a question soliciting feedback from the group, and you see one person in particular nodding emphatically as though they have something to say. Say, \u201cJames, I see you nodding over there. Would you like to say something?\u201d<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">There\u2019s the fumbling at the end of the meeting with goodbyes as some people don\u2019t know if they\u2019re allowed to leave or if you want them to stay on. Instead, if you want one person to stay on the call to discuss something, you need to call it out clearly. For example, \u201cOkay, that wraps up this meeting then. I\u2019m going to ask Chase to stay on for five more minutes to talk about the financial report. Everyone else, sign off now, and I\u2019ll send an email followup on everything we discussed. Thanks for joining!\u201d<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Narration works for any awkward silence, in fact! These lapses in conversation often happen after you\u2019ve asked a question and people are thinking about what to say or aren\u2019t sure who\u2019s supposed to speak first. To remedy this, you can say, \u201cI know you\u2019re thinking about how to answer this, so take your time. I\u2019ll wait, and whoever wants to jump in first can do so.\u201d Or you can even say, \u201cLucy, I\u2019d love to hear from you first,\u201d if ample time has passed, and no one has spoken.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">While you\u2019re waiting for your presentation to load on your computer before sharing your screen, simply say, \u201cI\u2019m just waiting for the presentation to load. Sorry, my internet has been super slow today! I\u2019ll let you know once I\u2019ve gotten it up.\u201d<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Yes, narrating can feel weird, and obviously you wouldn\u2019t do it in an in-person meeting. But unlike an in-person meeting, your attendees can\u2019t see what\u2019s going on on your end. Narrating helps them understand the context of the situation.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">17. Communicate action steps and takeaways.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Research by meeting management software <\/span><a href=\"https:\/\/fellow.app\/blog\/meetings\/meeting-statistics-the-future-of-meetings-report\/#findings\"><span style=\"font-weight: 400;\">Fellow<\/span><\/a><span style=\"font-weight: 400;\"> found that one of the top five problems with meetings is that there are no clear takeaways, while on the flip side, one of the top five characteristics of a great meeting is having actionable takeaways.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">That means many people are leaving meetings going, \u201cUm, why did we even have that meeting?\u201d<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\">Don\u2019t let your attendees think it was a waste of time! When you\u2019re wrapping up, state what you learned and what will happen next. If you run out of time, let the attendees know you\u2019ll email them with next steps.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">18. Take a break from video every once in a while.<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Not every remote meeting needs to be a video meeting. In fact, too much can lead to Zoom fatigue, a now well-documented effect caused by way too many video calls over the pandemic.<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><span style=\"font-weight: 400;\"><br \/>\n<\/span><a href=\"https:\/\/news.stanford.edu\/2021\/02\/23\/four-causes-zoom-fatigue-solutions\/\"><span style=\"font-weight: 400;\">Stanford University researchers<\/span><\/a><span style=\"font-weight: 400;\"> found four reasons for this\u2014and they all have to do with the <\/span><i><span style=\"font-weight: 400;\">visual<\/span><\/i><span style=\"font-weight: 400;\"> component of these meetings:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Excessive, close-up eye contact<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Seeing yourself during video chats<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Decreased mobility during video chats<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Higher cognitive load in video chats<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">So, the easy fix?
